Executive Personal Assistant / Course Administrator

Duties & Responsibilities
Diary Management for the Business Directors, incl. Year Planner for all SA regions & Botswana.
- This involves high level of planning, which I manly do on my own and then present to EXCO/Management.
Travel arrangements. Complete; flights, car, accommodation, VISA Applications, Insurance, travel allowances, itineraries and reconciliation of expenses on return.
- I often check for better flight deals and negotiate better rates with Hotels incl opening accounts with them with special corporate rates, so that our employees for example would be R850.00 b/b instead of R1250.00 which saves the company a substantial amount of money each month.
Marketing functions such as;
- Submissions for the SAICE JHB Regional Awards (Grayston Pedestrian Bridge received 4 awards, in this submission alone), SAICE honors Civil Engineering excellence at National Awards and CESA Aon Engineering Excellence Awards.
- Completely organising sponsored stands at international conferences such as IAIA and CAPSA from beginning to end.
- I often initiate early communications with the major event organisers to ensure that we pay early bird rates and get first pick of the best stands at the exhibitions.
- All promotional items and even designing of the company's CD Calendars, which I used RHDHV leading project photos for the past 3 years.
- In all marketing related functions, I've been fully tasked with all communications, organising and budgeting of everything required, and I have proven excellent results in maximum client exposure and savings.
Assisting with company policies and procedures and creating templates to be used with the implementation of new processes.
CIPC forms, LOA's, TAX Clearense Certificates, Supplier Application Forms, Staff CV's, ID's, Qualifications and certification of required documents.
Project Management and assisting with proposals and tender documents - x2 to x5 projects per month
Screening of international opportunities/ tenders and distributing leads and also purchasing or downloading of required documents.
Managing of 8 site staff, which includes but is not limited to their expense claims and leave forms, time sheets, incident reports, deliverables and car rentals.
Facilities Management; printers, filing cabinets, archiving, meeting rooms, refreshments etc.
Petty Cash Management
Account Management/ CRM (Creating and maintaining client and supplier database, mailing lists).
Assisting with HR related functions such as service awards, appointment letters/contracts etc.
As Course Administrator I fully managed the advertising, scheduling, registrations and running of 7 CPD accredited training courses across all regions within South Africa, from beginning to end. (advertising, registrations, budgeting, attendance registers, training material, venue bookings, travel and other arrangements for trainers, certificates, questioners, evaluation forms....)
Vetting of SAICE Contract documents for national publication.
As our Occupational Health & Safety Representative, First Aider, Emergency Planning, Evacuation Marshall and Fire Fighter, I do monthly inspection reports, submit incident reports and assist with the general planning and safety of our office.
