Key responsibilities
? Provide complete administrative support to the Chief Executive Officer/ General Secretary which includes:
o Handling incoming calls and responding to various queries as required including Metal Industries Benefit Funds Administrators (MIBFA) and Centre for Dispute Resolution (CDR) as part of the core functions of the Council.
o Manage inbox (respond where possible) and help prioritise responses.
o Assist with the creation/ modification of presentations, spreadsheets, letters and other various documents.
o Prepare and manage travel schedule locally.
o Prepare, reconcile and track credit card expenses.
? Organize meetings; prepare agendas and take minutes of meetings and other statutory meetings as may be required.
? Deal with correspondence, collating information and writing reports, ensuring action items and decisions arising from meetings are communicated to the relevant Stakeholders.
? Facilitate communication between the Chief Executive Officer/ General Secretary and his direct reports i.e. General Manager Finance and Administration, General Manager Operations and Compliance, Communications Manager, Human Resources Manager and other Stakeholders.
? Assist the Chief Executive Officer/ General Secretary to achieve balance and an optimal operating environment.
? Review and summarise miscellaneous reports and documents, prepare background documents and outgoing mail as necessary.
? Prioritise and manage multiple projects simultaneously and follow through on issues in a timely manner.
? Efficient, accurate and timeous completion of all relevant documentation.
? Apply MEIBC processes and policies set in the context of related governance, relevant legislation and communicated risk mitigation strategies.
? Timeous delivery/ collection of documentation to relevant parties as per specified instructions.
? Ensure that the Chief Executive Officer/ General Secretary is kept informed and updated.
? Maintain Chief Executive Officer/ General Secretary's calendar plan meetings and events.
? Accompany the Chief Executive Officer/ General Secretary and Human Resources to all 6 Regions to assist in conducting one-on-one sessions with staff, compile report and distribute to Executive Committee members and Regional Managers.
? Project administration:
o Data cleaning project for all 6 Regions verifying and cleaning the Council membership data.
o Corresponding with Industry employers on daily basis on data cleaning project through emails and telephone to update their details and keep them informed regarding Industry developments.
o Mentor 2 learnership students who are assisting with data cleaning project.
o Assist in ad hoc special projects as required.
Industry Negotiations:
o Compile all relevant documents for Pre - Bargaining Conference in preparation of Industry Negotiations.
o Consolidating all presentations of Stakeholders in terms of motivating their demands at the Pre - Bargaining conference.
o Consolidate all demands from both Parties (employers' organisations and trade unions) to be discussed during the Industry Negotiations.
o Organizing bilateral meetings between employers and trade unions to reach an Industry agreement.
o Circulate summarised discussion to Stakeholders.
o Work collaboratively with Communications department in preparation of Breakfast Seminars, conducting Blitz within certain companies and Industry Conferences.
